Booster Club Meeting Minutes 1/13/00

President, Jan Thompson called the meeting to order and thanked everyone for coming.

Jan introduced the Softball Coaches, Angie Spangler, Varsity and Debbie King, Junior Varsity.

 

Secretary Report - Everyone was asked to read over the minutes from the last meeting that was held on November 9, 1999. There were no changes or additions so the minutes were approved.

 

Treasurer’s Report - Brian Sturgeon reported that our current cash balance is $5,611.00. The only change since the last meeting is the $1,450.00 that was recently spent on field improvements. Also, Jane Steinseifzer has sold two more banners since the last meeting. The budget projects that we will have a balance of approximately $2,263.00 at the end of the school year. This amount, of course, is subject to change.

 

UPDATES

  • Field - Coach Spangler reported that the soil conditioner was delivered and the district has worked it in. With this improvement and the new sprinkler system, she thinks the field will be in good shape.

 

  • Donation - John Malchi reported that a gentleman that he has done business with for several years has volunteered to donate $1,500.00 to the booster club. We will use this money to purchase new uniforms for the Varsity.

 

  • Banners - Jane Steinseifzer, V. P., reported that as of this date, six banners have been sold. These six banners will be hung this coming Saturday. She said it is not too late to sell banners for this year because they can be made in about three days.

 

  • Spiritwear - Lynn Sturgeon handed out forms to order spiritwear, (Polo Shirt, T-shirt, Sweat shirt, Shorts and Mock-turtleneck). She said this is not for profit, but it is for the girls, parents, etc. She will turn in one order soon and another around March 1st.

 

  • Video - Lynn has met with the gentleman that will be doing the end of season video. He will come out and film two Varsity games and one JV game. Parents were urged to take lots of pictures for the video. These will be collected to be included in the video and will be returned, probably at the banquet. He needs regular photos, not on a disk. Walt Smith with Impact Images will also be taking some action shots for the girls or parents to purchase.

 

  • BBQ - The BBQ will be held on March 1st. Red, Hot & Blue will cater. Out cost is $6.50 per person and we will sell tickets for $10.00 each.

 

  • Varsity Poster - Theme for this year’s poster will be "Y2-CATS". The gentleman that Lynn is working with on this will try to have samples on Monday to go over likes, dislikes, etc. with her. Poster should be ready by the middle of February and will be hung in various places throughout the school and in some businesses.

 

  • Coaches were asked to tell the girls on Saturday morning, when pictures are being made, to have an individual picture taken even if they do not plan on purchasing it.

 

  • The subject of possibly putting each girl’s picture in some type of frame to display, as basketball and volleyball does, was brought up. Jan said they had looked into this last year and that it was going to be pretty expensive. Jan asked for a volunteer to look into this but did not get one.

 

  • Brick Graphic Fund-raiser - At our last meeting Peggy Stacy agreed to chair the "Brick Graphic Fund-raiser". She stated that our cost would be $15.00 per brick. We would have to find a Company or someone to lay the bricks, make a wall, or whatever we decided to do with them, because the Company that makes the bricks does not do this. Angie said that she needed to talk with Dr. Dean about this, so this fund-raiser was tabled until we have approval from Dr. Dean to proceed.

 

  • Peggy made a suggestion at this time that we might need to have some kind of security light installed by our new restroom/storage building at the field. Angie will call the district regarding this.

 

  • Flower Sale - Connie Malchi reported that the Spring Flower Sale will begin in March with a delivery date sometime after April 1st. Our cost is $9.00 per flat and we sell them for $15.00 pre flat.

 

  • Team Dinners - Connie is also in charge of this. She has agreed to have one of the team dinners in her home and asked for a volunteer to have another. No one volunteered. Jan said they will be collecting $6.00 per girl for these dinners. This is a UIL rule. If a girl does not pay they will not be permitted to attend the dinners. Dates for these dinners will be March 14th and April 4th.

 

  • Game Day Shirts & Yard Signs - The girls have chosen a baseball type shirt for their game day shirt and they will design a team T-shirt. Yard signs will be available again this year for those who need one, will probably be $20 again this year. A form will be coming home soon to order these shirts or yard signs and to pay for the team dinners, etc.

 

Volunteers

  • Spirit - Jan asked for a volunteer to chair the Spirit Committee, which consist of making decorations for the girls' lockers in their locker room. Cherry Reed agreed to head this and Jane Steinseifzer and Sharon Bradford agreed to help. We will collect $5.00 from each girl to pay for these decorations, this is also a UIL rule.
  • Announcing & Videoing of games- After quite a lengthy discussion it was decided that Renata, a friend of Coach Spangler’s, who had agreed to help, will do the announcing and Coach Spangler & Coach King will try and locate someone to do the videoing
  • PA Lock Box - Someone is needed to come up with a way to lock up the PA System, (receiver, speakers, etc.), inside the press box. Jane Steinseifzer volunteered to check into this.

 

UIL Rules - Jan brought some of the UIL Rules to the attention of parents and stressed that these rules be followed, such as, the team cannot accept meals, goodie bags, snacks, parties provided by parents, etc. A player can become ineligible for not following these rules. Another rule is that a team member cannot be paid for coaching, giving lessons, etc.

The Coaches will go over these rules with both teams.

 

Various - Coach Spangler passed out packets for parents and girls to fill out and sign and get back to her.

 

Coach King said that she will leave messages concerning games on her voice mail. She asked that if your daughter is absent to please call and leave a message telling her this. Coach King’s ext. is 21454 and Coach Spangler’s is ext. 21456. School’s number is 972-519-8500.

 

Jan asked for phone volunteers to help call team members when needed. Kathy Miller, Peggy Stacy, Connie Malchi and Lynn Sturgeon volunteered to do this.

 

Jan asked coaches to send her a roster of each team as soon as possible. She also said that she will be printing copies of maps to each field that we will be playing at.
