Booster Club Meeting Minutes 4/17/00

WELCOME - Jan Thompson, President called the meeting to order and said that this would be our final meeting of the year.

SECRETARY REPORT - Cherry Reed, Secretary, asked everyone to read over the minutes from the last meeting. There were no changes or additions, so the minutes were approved.

TREASURER’S REPORT - Brian Sturgeon gave the financial report. There is a present balance of $4,824.00. It is estimated that we will have between $2,900 and $3,000 to carry over to next year. There will be a final accounting report prepared at the end of the year.

Summary of Activities and Accomplishments - Jan Thompson

Administration: bylaws, PO Box, bonding, standard logos, regularly scheduled public booster club meetings with minutes and financial reports, record keeping, review UIL rules; Fund-raisers: seven banners, garage sale, two flower sales, Tom Thumb program; Improvements: Wildcats Softball sign on back of scoreboard, infield sprinkler system, infield soil conditioner, shelving for storage building, CD player, warm-up CDs, and PA lock box; new Varsity uniforms, new bats; Spirit: Spiritwear, Locker decorations, Game day shirts, Game day programs, announcer, Varsity Y2Kats poster, team pictures, team dinners, BBQ dinner, senior recognition, team video, web page, end-of-season banquet

CURRENT BUSINESS

Video - Lynn Sturgeon reported that she is in the process of gathering pictures from all the girls. Lynn reminded everyone to go by Impact Images at 15th and Independence to purchase pictures of your daughter. Just put your name on the back of any pictures that you turn in and they will be returned at the Banquet. At this point, Lynn is not sure what the cost of the video will be for the players to purchase, probably between $10 and $20.

Banquet - Jan Thompson said that the invitations have been mailed. Banquet is Sunday, May 7, 2000. Varsity and Jr. Varsity will have their dinner paid for, but all others will be $25.00. Vines and Jasper have been invited. Last year there were only 4 people from these two schools that attended, so if there is not more this year we may want to discontinue this practice.

PLANNING FOR NEXT YEAR

Officers & Next Meeting - Jan reported that Jane Steinseifzer will be next years President and Jack Clemons will be the Treasurer. Jan thanked them both for agreeing to do this. She said that the Vice President and Secretary will be chosen at a later date. Bylaws state how officers are to be chosen. Copies are available.

Banner Fund-raiser - Jane Steinseifzer suggested getting started early selling banners for next year. She said she plans to start during the summer. Forms are available. Banners sell for $600, $100 is for the cost of making the banner and $100 goes to the school. Jane said she would be glad to contact a business if you can just give her the name. There is room to hang approximately 25 banners.

 

Possible Projects - Jan said that they had wanted to purchase a permanent flag pole, but it didn’t come through this year. This is one of the main purchases she and Jane feels should happen for next year. The cost is $650. Other suggestions are, art work for the dugout and the Brick Graphic Fund-raiser. The Brick Graphic project was started this year, but never really got going, someone that will be involved next year needs to get the paper work on this from Peggy Stacy. Coach Spangler suggested having helmet holders and bat holders made for the dugout. Craig Thompson suggested a ball drop.

Vote - Jan asked for a vote to pre-approve next years board spending up to $1,000 to get started in the fall to do various things, such as banquet deposit, bond insurance, postal fees, etc. Motion was made, seconded and carried.

Discussion - Jan asked if anyone present tonight, that will be involved next year, had any questions about any of the many jobs or committees. She thought that a committee chairman could describe their job if anyone was interested in hearing exactly what was involved, but got no response. Larry Steinseifzer expressed a concern that there might not be enough parents step forward to help next year. After some discussion, Jan said that she really feels that once things get started that people will rise to the occasion. Several people agreed to come back and explain their various jobs next year if needed.

COACHES COMMENTS - Coach Spangler thanked everyone for all they have done this year. She said that we will be playing Mesquite on Thursday, April 20th at 4:30 at Winters Park in Garland. She also suggested maybe having a T-shirt made that said "District Runner-Up", or waiting to see how far we go and then having one made. There was also a suggestion to have one made for every play off game. Jane Steinseifzer volunteered to look into this.

Jan expressed her gratitude to everyone for the various jobs they have done.
